Weekly Calendar Reports (Client-Facing)
What this helps you do: Create a clean, reliable weekly calendar report you can send to clients so they know what hearings and meetings are coming up—and which bills matter to them.
Before you start
Bills should be organized into Groups by client or project.
You should know which committees or chambers matter to your audience.
How it works
This workflow uses a dynamic Calendar report that automatically rolls forward each week.
Once set up, you can:
Download it on demand, or
Schedule it to run automatically
Step-by-step workflow
1. Create a Calendar report
Open Reports.
Select Create report.
Choose Calendar report.
Select Dynamic.
2. Set your filters
In the Filters tab:
Groups: Select the client’s group(s)
Date range: Set to Next week
Meetings with bills only: Turn ON
Chambers / Committees: Select only what the client cares about
This ensures the report focuses only on relevant meetings.
3. Control which bills appear
In Content & Layout:
Enable Show only filtered bills
This prevents large agendas or consent calendars from overwhelming the report.
4. Choose report content
Still in Content & Layout, include:
Bill number
Bill title
Summary
Committee
Meeting date, time, and location
Optionally include:
Priority
Position
Assignee
Keep it concise—clients rarely need every field.
5. Preview and adjust
Use the live preview to confirm:
Meetings fall in the correct date range
Only relevant bills appear
The report is easy to scan
Tighten layout before downloading.
6. Download or schedule
Download as Rich PDF for a polished packet
Or save and schedule the report to run weekly (e.g., Monday morning)
Recommended settings at a glance
Tips
Create one “master” weekly calendar per client.
Use scheduling for predictable weekly delivery.
If agendas explode in size, double-check Show only filtered bills.
Common questions
Why does my report change week to week?
Dynamic reports automatically roll forward as meetings are added or updated.
Can I reuse this for another client?
Yes. Duplicate the report and change the group selection.
What if a client wants a one-off tweak?
Make the change, download without saving, then discard.
