Managing Your Account & Billing

View your subscription details, check upcoming charges, download invoices, and understand your billing—all from the Account Overview section of the self-service portal.


Accessing Account Overview

  1. Log into State Affairs at pro.stateaffairs.com

  2. Click your profile icon (top-right) → Settings

  3. You'll land on the Account Overview tab by default

Note: Only Admins can access this section. Members see Profile Settings only.


Understanding Your Billing Dashboard

When you open Account Overview, you'll see three key pieces of information at the top:

Next Invoice Date

What you'll see:
"Your next invoice will be issued on [Date]"

What it means:
This is when your credit card will be automatically charged for the next billing period. Most subscriptions are annual, so you'll see a date roughly 12 months from your last payment.

Why it matters:
Set a calendar reminder 1-2 weeks before this date to ensure your payment method is current. An expired or declined card means service interruption.


Total Amount Due

What you'll see:
"$0 Total amount due" or "$[Amount] Total amount due"

What it means:

  • $0 = You're current on all payments. No action needed.

  • $[Amount] = You have an outstanding balance that needs to be paid.

If you have a balance:

  1. Click "View Past Invoices" to see which invoices are unpaid

  2. Click "Payment Portal" to update your payment method or make a payment

  3. Or contact billing@stateaffairs.com if you have questions about the charges


Subscription Terms

What you'll see:
"Subscription terms from [Start Date] until [End Date]"

What it means:
Your current subscription period. This shows how long your current access lasts before renewal.

Common term lengths:

  • Annual subscriptions: 12 months

  • Quarterly subscriptions: 3 months

  • Monthly subscriptions: 1 month

How to Access Invoice History

  1. In Account Overview, click the "View Past Invoices" button

  2. You'll see a list of all previous invoices

Columns explained:

  • Invoice # - Unique identifier (useful when contacting support)

  • Date Issued - When the invoice was created

  • Amount - Total charge for that period

  • Status - Paid, Unpaid, or Overdue

  • Download - Click to download PDF for your records


Downloading Invoices

To download a single invoice:

  1. Find the invoice in your history

  2. Click the PDF download icon

  3. Save to your computer

Why download invoices?

  • Expense reports and reimbursements

  • Accounting and bookkeeping records

  • Tax documentation

  • Audit requirements

Best practice: Download invoices at the end of each billing period and store them in your accounting system. Don't rely on accessing the portal years later—keep your own copies.


Understanding Your Seats

Scroll down in Account Overview to see your "My Seats" section.

What Is a Seat?

A seat is one user license for State Affairs. Each seat:

  • Is assigned to one team member

  • Provides access to specific states

  • Has a specific tier (News, Pro, or Enterprise)

  • Cannot be shared between multiple people


Viewing Your Current Seats

What you'll see:

Reassign Seats

This tells you:

  • Seat Type: Your tier level (Pro, News, or Enterprise)

  • State: Which state legislature this seat covers

  • Seats: How many licenses you have for this state/tier combination

  • Action: Options to reassign seats to different team members

Example interpretation: "Pro | Indiana | 1" means you have one Professional-tier license for tracking Indiana legislation.

News Seat - From $600/seat

  • State-level political news coverage

  • Exclusive, nonpartisan reporting

Pro Seat - $2,250/seat

  • Everything in News, plus:

  • AI-powered bill and hearing analysis

  • Searchable hearing transcripts

  • Full bill tracking with reports

  • Bill comparison and redlining

  • Groups and custom reports

  • Legislator directories and voting records

Enterprise - Custom pricing

  • Everything in Pro, plus:

  • All 50 states + Congress

  • AI-powered Dashboard

  • 360 Views (comprehensive bill analysis)

  • Advanced analytics and trend tracking

  • Dedicated account manager

  • Priority support


Reassigning Seats

When to reassign:

  • Employee leaves your organization

  • Someone changes roles and needs different access

  • Reorganizing team responsibilities

How to reassign:

  1. In the "My Seats" section, click "Reassign Seats"

  2. Select the current user who has the seat

  3. Choose the new user from your team dropdown

  4. Click "Confirm"

What happens:

  • The original user immediately loses access

  • The new user immediately gains access

  • No gap in service, no additional charge

Important: Make sure the new user already exists in your Team Members list. If not, invite them first before reassigning a seat.


Requesting Additional Seats

Need more access? You can request additional seats directly from the portal.

Option 1: Request a Specific Tier

Scroll down to the "Add additional seats" section. You'll see three tiers with pricing:

To request a seat:

  1. Decide which tier you need (News, Pro, or Enterprise)

  2. Click "Request Seat" under that tier

  3. Fill out the request form (number of seats, which states)

  4. Click "Submit"

What happens next:

  • Our team reviews your request within 24 hours

  • You receive a quote via email

  • Accept the quote to add seats to your subscription

  • New seats become available immediately after payment


Option 2: General Seat Request

Not sure which tier you need? Use the general request option.

  1. Scroll to the bottom of Account Overview

  2. Click "Add seat/state" button

  3. Describe what you need:

    • How many seats?

    • Which states?

    • What features are most important?

  4. Submit the form

Our team will contact you with recommendations and pricing within 24 hours.


Using the Payment Portal

The Payment Portal is a secure external portal managed by Stripe (our payment processor) where you can update payment methods and billing information.

Accessing the Payment Portal

  1. In Account Overview, click the "Payment Portal" button

  2. You may be prompted to verify your identity (security measure)

  3. The portal opens in a new window


What You Can Do in the Payment Portal

Update payment method:

  • Add a new credit card

  • Remove old cards

  • Set a default payment method

Update billing information:

  • Change billing email address

  • Update billing address

  • Change company name on invoices

View payment history:

  • See all past charges

  • Download receipts

  • Verify payment dates

Important: For security, your full card number is never displayed—only the last 4 digits.


Common Account & Billing Tasks

How to: Check When You'll Be Charged Next

  1. Go to Account Overview

  2. Look at the top box: "Your next invoice will be issued on [Date]"

  3. That's your next automatic charge date

Pro tip: Set a recurring calendar reminder 1 week before this date each year to verify your payment method is current.


How to: See if You Have a Balance Due

  1. Go to Account Overview

  2. Look at "Total amount due"

  3. If it says $0, you're current

  4. If it shows an amount, you have an outstanding balance

If you have a balance:

  • Click "View Past Invoices" to see what's unpaid

  • Click "Payment Portal" to make a payment

  • Or contact billing@stateaffairs.com to discuss payment options


How to: Download an Invoice for Accounting

  1. Go to Account Overview

  2. Click "View Past Invoices"

  3. Find the invoice you need

  4. Click the download/PDF icon

  5. Save to your computer

Use cases:

  • Monthly expense reports

  • Year-end accounting

  • Reimbursement requests

  • Tax preparation

  • Audit documentation


How to: See Which States You Have Access To

  1. Go to Account Overview

  2. Scroll to "My Seats" section

  3. Look at the "State" column

  4. This shows which state(s) your seats cover

If you need additional states:
Click "Add seat/state" to request access to more states.


How to: Request More Seats

  1. Go to Account Overview

  2. Scroll to "Add additional seats"

  3. Click "Request Seat" under the tier you want (News, Pro, or Enterprise)

  4. Fill out the request form

  5. Submit

You'll receive a quote within 24 hours.


How to: Understand Your Subscription Type

  1. Go to Account Overview

  2. Look at "My Seats" section

  3. The "Seat Type" column shows your tier:

    • News - News coverage and keyword alerts

    • Pro - Full legislative tracking tools

    • Enterprise - 50-state coverage with AI features

Troubleshooting

"I don't see Account Overview" → You need Admin permissions. Members cannot access billing information. Ask your account administrator to upgrade your role.

"Payment Portal won't load" → Check your popup blocker—the portal opens in a new window. Try disabling your popup blocker temporarily or use a different browser.

"My payment method won't update" → Verify the card details are correct (number, expiration, CVV, ZIP code). If it still fails, contact your bank to ensure the card isn't blocked. If the problem persists, contact support@stateaffairs.com.

"I see multiple seats but only need one" → You may have duplicate subscriptions. Contact billing@stateaffairs.com to review your account and consolidate subscriptions.

"The next invoice date doesn't match my expectations" → Subscription terms can vary. Check your subscription terms to see your current period. If something looks wrong, contact billing@stateaffairs.com.
