Understanding Your Shared Inbox Within Field Notes

What This Does

A team notes email creates a shared inbox that automatically turns forwarded emails into Field Notes visible to your entire team. While a personal notes email assigns the note directly to you, a team notes email assigns the note to the team itself.

When You’d Use This

  • You want multiple team members to forward notes into a single team workspace.

  • You use a shared company inbox that auto-forwards relevant legislative emails to State Affairs.

  • You want to ensure notes are owned by the team so access is retained even if a specific user leaves.

How To Do It

  1. Go to your Team Details page.

  2. Locate the Team Notes Email section.

  3. Enter your desired email prefix in the input field.

  4. Click Create notes email.

What Happens Next

The system verifies if the email prefix is available. Once saved, any email sent to this address automatically generates a Field Note with team-wide permissions. All team members can view the note, and the system sends a confirmation email to the original sender.

  • Add your team notes email to your contacts to quickly forward meeting notes from any device.

  • Include the team notes email as a BCC on important communications to log them as Field Notes.

Limitations

  • The email prefix can only contain letters, numbers, dots, underscores, percent signs, plus signs, and hyphens.

  • The requested email prefix must be unique across all State Affairs users and teams.
